Mentorship programme management

The work happens between the sessions.

Koiva Mentor holds the thread of a programme — who met, what was decided, and what is still open — across every mentor, every venture, and every month.

For accelerators, incubators and donor-funded venture programmes.

A venture's growth often depends on having the right person walk alongside it — and on somebody remembering what was said last time.

The first half is why programmes exist. The second is why they leak.

How it works

One thread per venture, from first conversation to closing showcase.

Most programmes are run across a calendar, three spreadsheets and a WhatsApp group. Koiva Mentor puts the whole engagement on a single line you can follow.

Set up

Register the programme and pair people up

Add ventures, invite mentors, record who is matched to whom and why. Sponsors and founders get their own scoped access — they see their programme and nothing else.

Every session

Schedule, meet, and file one honest line

Invites carry the pre-reads. Afterwards the mentor fills one required field — what the founder leaves with — plus any actions. Everything else is optional, which is why it actually gets done.

Next session

Open commitments come back to the top

Last session's open actions appear on the next session's form. The check-in starts from what was promised rather than from memory, and nothing quietly disappears.

Whenever it matters

Raise a flag before it becomes a problem

Two one-click signals: this venture needs different expertise, or this engagement is drifting. Both route to the coordinator with a clock running on them.

At the close

Report from records, not recollection

Re-run the baseline assessment, capture what each founder says changed in their own words, and hand the whole picture to whoever funded the programme.

Monday morning

One screen tells you where to step in this week.

Not a wall of charts. Four numbers that mean something, and the list of engagements underneath them. Every figure is a filter — click it and you are looking at the rows it counted.

What it tracks

The whole engagement, not just the calendar.

Scheduling tools stop at the meeting. A programme is made of what the meeting produced, whether it happened, and whether anyone did the thing they said they would.

Who sees what

Six kinds of people, one workspace, no accidental oversharing.

Access is decided at the data layer, not hidden behind a disabled button. A sponsor looking for session notes finds nothing there to find.

Implementer

Coordinator

Runs the programme day to day. Schedules sessions, chases notes, resolves flags, pulls the numbers.

Implementer

Coach

Sees every venture. Runs the baseline assessments and picks up the flags mentors raise.

Own engagements

Mentor

Sees only the ventures they are paired with. Files notes, sets commitments, raises flags.

Own venture

Founder

Sees their own sessions, commitments and documents. Never another venture's anything.

Granted programmes

Sponsor

Milestones, engagement volume and the outputs you publish. No session notes, ever.

Time-boxed

Panel member

Reads one venture's profile and baseline for one checkpoint. The access expires on its own.

Guaranteed

Private reflections stay private

A mentor's private notes are readable by their author and nobody else — not the coordinator, not the administrator. Mentors who doubt that write nothing worth reading, and the programme learns nothing.

At the close

Prove it changed something.

Funders ask what the programme achieved, usually five months after anyone could reliably remember. Koiva Mentor answers from the record instead of from the last conversation you had about it.

  • The same assessment, run at the start and at the end, compared question by question
  • What each founder says changed, in their own words, with their consent to quote it
  • Sessions held, commitments met, flags raised and how they were resolved
  • No composite score and no ranking — ventures are not league tables

We stopped guessing which distributor was working. That decision came out of a session in month two and we have not looked back.

Closing statement · captured in-app · cleared for use

Quotes are only ever exported where the founder has agreed to it, and withdrawing that agreement removes them from every report afterwards.

Built for programmes where the relationship is the product.

Get going

Set up your first programme in an afternoon.

Add the ventures, invite the mentors, pair them up. The first session you schedule is the first row of a record you will be glad to have in month five.
